Duplicate records that appear in your database can be easily removed. We provide you with two methods to clean unwanted duplicate contacts.
Automated ScanStructuredWeb will run a deep scan on your entire database searching for similar records. We place the resulting records into three different categories based on similarities between first name, last name, company name, email address, phone number, and/or address. When the analysis is complete each user can view duplicate records in their own database and decide if they want to merge them. This process merges all the information including notes, activities, calendar events, opportunities, and group information with correct record, then delete the duplicate record. This process takes up to 24 hours to run.
Click Run the duplicate process tonight.
This runs the analysis process. You will be notified when it's completed. After the analysis is completed visit the same area and choose View the current list of possible duplicates.
This loads a list of possible duplicates. It's broken into three categories:
- Best Matches
- Probable Matches
- Possible Matches
Browse the entire list and choose which record you want to keep. When finished select Process these records now button at the bottom of the page. You also have the option of running the merge over night.
ManualIf you come across a duplicate contact record as your using the system you can manually merge the two records.
Run a basic search to find the records and check the box next to each one.
Click Tools and choose Merge checked duplicates.
Choose which record to keep and click Merge Duplicates.
